Scheduling your jobs, tasks and milestones

When you’re creating a new job, or working with an existing job, you need to ensure that the job itself, the tasks it contains and any milestones are all scheduled correctly.

In a new job, the job and task Start and Due dates and milestones will all default to today’s date. So you’ll need to update them to match the planned schedule for the work.

There are quicker and easier ways to set these dates.

  •          If you’re using job templates, you can set up milestones to occur automatically a set time after the job start date.
  •          With the recurring job, you can specify how often new jobs are created; when the next job starts and how long each jobs will run for.
  • However there’s no way to automatically schedule your jobs and tasks.

    •          But there is another way to schedule your jobs, tasks and milestones. Using the Interactive Job schedule editor

      For new Jobs: 
      •          Accept today as the Start Date and Due Date for the job itself. Then, Save the job.
      •          As you add Milestones, accept today for each milestone date.
      •          And when you add tasks to the job, leave the Scheduled Task checkbox blank. Then, Save the task.
      • This will leave the task Start and Due dates blank on the Job Information page, see below.
      •          Once you’ve added all the milestones and task you need, select edit Schedule
      •          The blank schedule is displayed, showing the next four weeks, with today’s date indicated by the red dotted line.
      •          To set the overall schedule for the job itself, click on the Job row, at the planned start date, then drag to the required end date.
      •          If you move the whole bar, WorkflowMax will ask you if you want to also move the milestone and tasks to match the new start date.
      •          Drag and drop the milestones to the dates you want. Remember that each milestone can be used to trigger notifications to selected staff as the milestones date approaches, and that notifications can also be triggered for tasks and the overall job as well.
      •          Schedule each task in the same way as you did for the overall job. Right –click on the task bar and unscheduled the task if you need to.

      •          Mouse over any of the items to see further details. When you’re finished. Click SAVE
      •                  All the dates you’ve set are now stored against the job, its milestones and tasks.
